Overview

An important and high profile position, the Customer Service Representative answers incoming calls from customers, sets appointments and is the friendly, helpful “voice” of All Craft Exteriors. The representative addresses inquiries, fields questions, handles initial complaints and troubleshoots problems. In addition,  the customer service representative maybe asked to follow up with customers who have not responded to estimates, who have cancelled appointments, or who otherwise require attention.

JOB DESCRIPTION

  • Communicate with homeowners by phone, email, and mail to ensure the best service
  • Answer the phone and function as a customer service representative
  • Assist accounting staff and General Manager as necessary
  • Create customer sample folders, keep the marketing department apprised of sales literature stock levels and other sales collateral (such as business cards).
  • Set appointments for sales staff
  • Keep filing systems up to date
  • Data Entry
  • Assist with generating and mailing customer “Thank You” notes
  • Assist with all aspects of job permits
  • Assist General Manager with weekly reports and presentations
  • Coordinate with Accounting manager on job costing
  • Maintain an orderly job filing system
  • Set up new jobs in the accounting system
  • Participate in marketing and public relations activities as needed (including staff pictures, broadcast, social media, videos, etc.)
  • Refer service or product failure complaints to appropriate departments for inquiry
  • Preferred experience with Microsoft Office, Gmail, and CRM technology
  • Other duties as requested by accounting staff, General Manager or President
  • Schedule M-TH 8:00 am – 5:00 pm, Friday 8:00 am – 3:00 pm
  • One year of customer service experience preferred, but not essential
  • Be proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) 
  • Show attention to detail and a genuine talent for helping homeowners solve problems
  • Show up on time
  • Work well both as part of a team and independently
