Overview

An important and high profile position, the Customer Service Representative answers incoming calls from customers, sets appointments and works to resolve questions. The Representative addresses inquiries, fields questions, handles complaints and troubleshoots problems. In addition,  the Customer Service Representative maybe asked to follow up with customers who have not responded to estimates, who have cancelled appointments, or who otherwise require attention.

JOB DESCRIPTION

  • Reports directly to: Office Manager
  • Answer the phone to assist customers with appointments and questions.
  • Make outbound phone calls to existing leads to reactivate jobs
  • Communicate with customers by phone, email, and mail to ensure the best customer service
  • Assist other customer service representatives, the company bookkeep and managers as requested
  • Create and maintain customer sample folders
  • Keep track of product literature and report needs to Marketing Department in a timely manner
  • Set appointments for sales staff
  • Assist in keeping filing systems up to date
  • Data entry as requested
  • Assist with generating and mailing customer “Thank You” notes
  • Refer service or product failure complaints to appropriate departments for inquiry
  • Participate in marketing and public relations activities as needed (including staff pictures, broadcast, social media, videos, etc.)
  • Other duties as requested by the Administration, General Manager, or Owner.
  • One year of customer service experience preferred, but not essential
  • Be proficient with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) 
  • Show attention to detail and a genuine talent for helping homeowners solve problems
  • Show up on time
  • Work well both as part of a team and independently
